When traveling by air, Travel Services recommends using an airline that is a Travel Contract Supplier. You will get Penn negotiated discounts when flying with one of these airlines.

In order to take advantage of any of Penn negotiated discounts with these airlines, you must purchase tickets from one of Penn's preferred agencies.

Most negotiated discounts apply to the higher fare classes and unrestricted fares. If you get a lower non-refundable fare, the discounts may not apply but you still benefit by using a preferred supplier and getting an inexpensive fare.

Tips and Guidelines for Airline Reservations

  • When making airline reservations, consider your destination, the complexity and duration of your trip before selecting the travel provider best suited for your needs.
  • The mode of air travel selected is expected to be the least costly option consistent with the itinerary and particular University business involved.
  • On federally funded projects, the Fly America Act takes precedence over a less expensive foreign carrier.
  • Coach class seating should be used for Penn authorized business travel and travelers are expected to take advantage of advance purchase, non refundable fares, whenever possible.

Airline Billing Account for Airline Tickets

When using one of Penn's preferred agencies, you may charge your ticket to an airline billing account. An airline billing account is a central bill account to which authorized airline tickets can be charged. On a monthly basis, these charges and service fees are journaled directly to the departments 26 digit account number, thus eliminating the traveler having to incur the expense and get reimbursed.
