University Supplier Category Terminology
Suppliers are categorized to identify the various levels of business relationship
with Penn, their status in the purchasing system database, or restricted use.
A complete list of supplier categories is listed below.
BEN Buys Approved Supplier
A BEN Buys approved supplier
is one whose corporate profile and supplier questionnaire has been reviewed and
approved by Purchasing Services, and then added to the
BEN Buys Purchasing System approved
Preferred Contract Supplier
A preferred contract supplier
is a preferred supplier that has been awarded a university-wide contract discount
pricing agreement by Purchasing Services to supply products and services required by
the University. Competitive bids are not required for purchases
from preferred contract suppliers regardless of the total aggregate cost of the
Preferred Travel Contract Supplier
travel contract supplier is a preferred supplier that has been awarded a
university-wide travel related discount pricing agreement by Travel & Card Services
in collaboration with Purchasing Services.
Penn Marketplace Supplier
A Penn Marketplace supplier is
a preferred contract supplier that has agreed to provide catalog content and contract
pricing for the Penn Marketplace.
Competitive bids are not required for purchases from Penn Marketing
participating suppliers regardless of the total aggregate cost of the purchase order.
A Showcase Supplier is a supplier that has joined the
Supplier Showcase to promote
Penn specific new product and pricing promotions.
An EDI supplier is a
Penn marketplace supplier that has entered into an electronic purchase order and
supplier invoice document transmission relationship with the University in order
to further streamline the procure-to-pay process.
Local Community Supplier
A local community supplier
is a BEN Buys approved supplier that is located in West or Southwest Philadelphia.
A diversity supplier
is a BEN Buys approved supplier that is certified as diversity or women owned based
on US Small Business Administration (SBA) classifications.
An approved caterer is a BEN Buys
approved supplier of catering services that meets or exceeds all University catering
related business and insurance requirements. Competitive bids
are not required for purchases from approved caterers regardless
of the total aggregate cost of the purchase order.
A deactivated supplier is a
BEN Buys approved supplier whose "purchasing site" has been deactivated in
the approved supplier database. This action may have been taken as a result of a
supplier consolidation initiative, new supplier contract(s), or supplier performance.
A recommended replacement BEN Buys approved supplier is listed by each deactivated
Supplier Name Changes
Suppliers that have changed their corporate name as a result of change of
ownership, merger, or acquisition are listed in the
Supplier Name Change list.
